Einleitung
Wir suchen ein Organisationstalent, das als zentraler Dreh- und Angelpunkt unser Berliner Büro leitet und gleichzeitig unser Executive Team operativ unterstützt. In dieser Rolle bist du die „Go-to-Person“ für das gesamte Team: Du schaffst die Strukturen, in denen unsere Führungskräfte effizient arbeiten können, und sorgst dafür, dass im Büroalltag alles reibungslos ineinandergreift.
Deine Aufgaben
In dieser vielseitigen Rolle bist du für das gesamte operative Rückgrat unseres Standorts und der Führungsebene verantwortlich:
- Zentrale Koordination: Du bist die erste Anlaufstelle für interne und externe Anfragen und steuerst den Informationsfluss professionell und proaktiv.
- Logistik & Reisemanagement: Du verantwortest die Planung und Buchung von Reisen sowie die gesamte Logistik für das Executive Team.
- Strukturierung von Rhythmen: Du koordinierst übergreifende Termine wie Board-Meetings, Offsites und die wiederkehrenden „Leadership Rituals“. Dabei behältst du den Überblick über die Prioritäten des Teams.
- Workplace Management: Du managst unser Büro in Berlin – von der Auswahl und Steuerung von Lieferanten und Dienstleistern über das Facility Management bis hin zur Bestellung von Equipment.
- Employee Lifecycle Support: Du koordinierst die Logistik für Onboardings (Desk-Setup, Welcome-Kits) und Offboardings, damit jeder Start und Abschied professionell verläuft.
- Event-Management: Du planst und organisierst unsere Firmenevents, Team-Offsites und Weihnachtsfeiern von der ersten Idee bis zur Umsetzung vor Ort.
Dein Profil
- Erfahrung: Du hast fundierte Erfahrung in einer koordinativen Rolle (z. B. Projektassistenz, Team-Koordination, Executiveassistenz) in einem dynamischen Umfeld gesammelt.
- Organisationstalent: Du liebst es, Ordnung in komplexe Abläufe zu bringen, denkst logistisch mit und arbeitest extrem detailorientiert.
- Hands-on-Mentalität: Du siehst Aufgaben, bevor sie ausgesprochen werden, und packst dort an, wo es für den reibungslosen Ablauf nötig ist.
- Kommunikation: Du bist eine gewinnende Persönlichkeit und kommunizierst sicher und freundlich auf Deutsch und Englisch.
- Zuverlässigkeit: Du arbeitest eigenverantwortlich, bist diskret im Umgang mit Informationen und bleibst auch bei parallel anfallenden Aufgaben gelassen und strukturiert.
